Getting Started with Follow Up Boss




RG highly recommends reading through this article and completing each item below to get your account set up and ready to start nurturing your database!



Getting Logged In


First things first! Get logged in and set up your account!


When you joined RG, you were sent an email invitation to set up your RG Follow Up Boss Account. Follow the prompts to set up your account and you are all set! When setting up your account, we encourage you to do the following:

✅ Connect your Email

✅ Add your Cell Phone Number

✅ Download the Mobile App

✅ Save your login information and favorite the website!

Profile/Settings Set Up


The foundation of each Follow Up Boss account starts with the settings. Personal information, login email, connected email, signature, hot sheet notifications, calling settings, and more can be managed on the settings page. To access the settings page, go to your initials/image in the upper right-hand corner > My Settings

Send "Set Up Screenshot" to Agent Services


Now that you have set up your Follow Up Boss account, Agent Services will need to know you have done this so they can start creating your Ylopo Agent Webpage on our company website

Please email Agent Services (AgentServices@RealtyGroupMN.Com) a screenshot of the dashboard of your FUB account similar to the one below



It will take Agent Services 1-3 business days to work with Ylopo and get your web page set up. Click Here to learn all about Ylopo Marketing Services!


Import your Contacts


Importing your contacts is the best way for an agent to get started with Follow Up Boss. This will allow you to organize your database and start communicating!

Manually Adding a Contact


An alternative way to add a contact to FUB, is manually adding them to the system instead of importing them from a spreadsheet. This method is good for when you just need to add a contact in here and there and are not importing a mass amount of contacts.

Lead Profiles


Now that you have imported contacts into your account, learn how to view and manage their information!

A contact's lead profile provides a centralized location for information, communication, appointments, deals, and activity. Never miss a beat as information for your contacts can be accessed on the desktop and app!

Creating Stages


"Stages" in Follow Up Boss are perfect for tracking who a contact is to you right now. Keep your contacts' stages updated and you'll know when it's time to follow up again. 

Define your stages so you know exactly where each contact fits in your pipeline. If you don’t have definitions in mind, use these:

Creating Tags


Tags allow you a flexible way to categorize your contacts. Unlike stages, a contact may have multiple tags!

Email and Text Templates


Email templates can be used for:


✅ Sending 1:1 emails quickly from desktop or mobile apps

✅ Sending batch emails

✅ Sending emails from an action plan

✅ Managing email templates

✅ You can manage email templates under Admin > Email Templates screen.

Sending Mass/Batch Emails



Batch emailing gives you the ability to email groups, or "batches," of contacts at once.

Use batch emails to strategically engage every sector of your database by sending targeted messaging that is most relevant to where they are in your pipeline.

Scheduling Emails


Build better relationships and always be a step ahead in your follow up by utilizing the email scheduling feature. Staying in touch has never been easier!

Use scheduled emails to:

  • Wish contacts "Happy Birthday" or "Happy Anniversary" on the exact date.

  • Stay top-of-mind when leads say they'll be ready to work with an agent after a certain time period.

  • Send emails the next morning or afternoon if you're working late.

  • Email contacts during times when they are most likely to open your email. 

  • Remind clients of important dates or deadlines.

Team Accounts


If you have a team of agents, you may want to have a team account within Follow Up Boss. The main purpose of using teams is so that you can designate one or more members of the team as a team leader.   Team leaders have access to all leads assigned to any member of the team, and any leads a team member is a collaborator on.
